National Jewish Health is currently seeking an Administrative Assistant II to join our growing and fast paced Finance team. As the Administrative Assistant II, this position is integral to the operational success of the Finance Team. The incumbent will provide exemplary administrative support and possess a willingness to go where they are needed. The ideal candidate will be able to preserve confidentiality of all materials handled and will have the capacity to establish and maintain constructive business relationships with internal and external customers. This position will provide an exciting opportunity to learn new things and be a part of a dynamic team.


Essential Responsibilities

1. Types or word-processes correspondence, memos, reports, or other documents to include formatting documents, spelling and punctuating accurately, proofreading and editing final copy.

2. Assists in the development and administration of spreadsheets, tracking tools, presentations, speeches, etc using sophisticated application software and requiring a high degree of independent functioning.

3. Answers, screens, and routes phone calls, to include taking messages and scheduling appointments.

4. Duplicates documents, processes & distributes mail, and sets up and maintains filing systems.

5. Makes travel arrangements, which may include arranging travel itinerary and making transportation and hotel reservations, as directed.

6. May be responsible for setting up conferences, seminars, dinners or special programs.

7. Maintains financial records, which may include processing vouchers, purchase and supply requisitions, expense reimbursements, monitoring expenditures, etc. as directed.

8. Orders supplies from various internal and/or external sources as needed or directed.

9. Performs as a back-up to staff absences and vacancies, as necessary.

10. Performs all other duties as assigned.


General Responsibilities

1. Performs, as directed, safety compliance and uses Personal Protective Equipment (PPE), as needed.

2. Participates in Quality Assessment (QA) and Quality Improvement (QI) programs, as directed.

3. Ensures compliance with The Joint Commission and all other Federal, State and Regulatory Agencies.

4. Responds promptly and sincerely to customer's needs, requests and concerns via all communication forms using easily understood language and refraining from using inappropriate language and non-verbal gestures.

5. Maintains positive working relationships as a team player through problem solving issues, speaking positively about others, listening attentively and observing the Patient Bill of Rights and Confidentiality.

6. Increases customer service knowledge, skill and ability by participating in department and institution-wide specific programs.

7. Incorporates National Jewish's identity (Science Transforming Life®) into daily functions. Speaks positively about the institution, provides customers with prompt service, maintains a clean and safe working environment, dresses appropriately based upon National Jewish safety standards, and departmental policies and wears an ID badge visibly.


Knowledge and Skills

Demonstrated advanced skills & experience: using a PC including the Microsoft suite, 10-key, typing, written communication, verbal communication, listening, attention to detail, problem solving, organization, general office equipment, and time management.


Education

High School Diploma or equivalent is preferred. Demonstrated ability to read, write and understand English and perform basic arithmetic computations.

Work Experience

A minimum of three (3) years of recent and related clerical experience, including a minimum of one (1) year of technical typing or Word processing experience required. Health care background may be preferred.
